    Need / want assistance with an Access database...

    Hi all you budding IT / Coders etc

    I have a trip recorder for my car (leased for work) and while it does some great things... It is lacking in some points; it does display all the data in real time... *http://www.auteltech.com/4in1.htm

    The maxirecorder is great and monitors any number of *outputs from the cars OBDII connector. *and allows me to export / down load. http://www.auteltech.com/maxirecorder.htm

    However it does not quite meet my needs or that of the ATO... *Without lots of manual intervention *:(

    Now while I have dabbled and played with Access...

    I am not all that comfortable with any number of its features and as I am getting OLD... (Thanks EPIC) *What I knew 12 months ago, has almost been totally lost / forgotten..... The main file is an Access data base that is updated, when you connect via a USB port and down load. *

    But info such as;

    1: fuel that can be entered - goes into another file and file format. Displayed in teh system, but not in the access data base.

    2: parts and other expenses not able to be entered.

    3: No option to tage entries as Business Vs private.

    So at present I am exporting the table into excel and manually trying to do things....

    Option 1:

    Mod teh Access data base and add in a couple of extra tables etc to allow Fuel / expenses to be logged / tracked. Then I can do up a report to export / print for the ATO / Accountant.

    Option 2:

    Modify Excel and try to do it all in teh spreadsheet and run a macro to do a lookup and import new fields as and when they are available..


    If there was a Brisbane CS with teh skills... It would be easer for me and I guess them... *However, I am open to all reasonable suggestions...

    1 - So you can see fuel used when you d/load the file, or is it another file altogether?

    You may need to create a new access database that houses manual information (parts, fuel purchases etc) and you can then link through to the data output from the recorder so long as you have some relationships between the data (EG date)

    You could create a private / business tag (again this would have to be in the separately created database) and then use a query based on KMS travelled / fuel cost for pvte / business split.

    Im having difficulty trying to understand what it is you are looking at, are the two units you linked to different things entirely, or is the first one the user interface and the 2nd the brains of the system.

    Im assuming for the tax office you have to be able to split each and every single tank of gas down to 70% pvte / 30% bus and have the data to back up the claims?

    If the above assumption is correct, you would have to be able to record / receipt fuel into the system each time and have the system log it (even if its just a date) and the system reset so that all kms are recorded after the new fuel is added.

    Its been a while since Ive tried anything really tricky in access and, Im not in brissy, so cant sit down over a cuppa to help you out, but if you can paint a picture as to what it is you are trying to achieve then perhaps we can work through it.

    I think it might be easiest to do this in Excel - with a change of process rather than a proper IT solution.

    You can use Data --> Import External Data --> Import Data to begin importing from your access DB.

    This is better than exporting - because you can set it up to be dynamic (or semi-dynamic) - you may need to consult the instructions on how to use the DB as a Datasource, but I this shouldnt be too difficult (I hope)

    From there you can pretty much go nuts, adding fields (to excel) as you wish. Its still slightly manual, in that you need to open excel and do some bits yourself, but the importing should happen automatically, because the database is a datasource. I think that once imported, the formatting would stay in place too.

    Im guessing that the export/import/data-munging is the thing that eats up most of your time?

    As to what eats my time... Work, CS and keeping TAX records :o

    As to applications... I like them, but not a coder, so often I know what I want / need but just can not get it to work.. Then some one with good experience comes along and go... bang bang ban and it all works.. :-[

    I actually only use the recorder to manage the expenses... The Trip unit is only for a visual and instant information.

    Thus the DB only records Date / Time / Mileage and some other stuff I do not need in one table..

    I need to be able to tax some of teh trips as private, add in expenses such as fuel / oil / etc etc so that I can then look at working out the ratio of Work Vs private.. Thus keep teh TAX man happy and my bank balance...
